"4.27.2017 Centennial Gala Planning Committee Meeting
Minutes
I. The meeting was called to order at 10AM.
II. Roll Call: Present were Susan Rossi, Michelle Alleman, Mike Wilson, Traci Buttar, Sandy Bilovesky, Trish Scarmuzzi, Theresa Martin, Dawn Tallman, and Rich Hale.
III. Corrections/adjustments to minutes of February 23, 2017 meeting: Prices of the larger swags will be deleted. There being no other corrections/adjustments, the minutes stand as edited.
IV. Committee Reports
a. Cornerstone Opening: Rich Hale, chairperson. Mr. Hale reported that he spoke with Ed Sciuillo regarding opening the cornerstone. We will try to open it a few days ahead of the public opening, then replace the cap for the public opening. He would then make a new box for inside the capsule. Mr. Hale recommended that we come up with a list of items to include in the time capsule before it is closed again. Mr. Hale also stated that Farmers' National Bank is trying to locate more prints of the Memorial that were sold as fund raisers. The cornerstone opening will occur as part of the re-dedication ceremony.
b. Guest Speakers: Mike Wilson, chairperson. Mr. Wilson said that he would like to get both party chair people. Traci Buttar noted that the board really wants this to be a black-tie gala, so it must be held on a Saturday evening. The committee decided to have the re-dedication as well as the gala on the same day, Saturday October 14, 2017. Traci Buttar noted that Dave Snyder stated that the board does not wish this event to be a fundraiser. Ms. Rossi-Wilcox stated that she would like to draw up a list of things that the money could be used for. Mrs. Buttar said that she would speak to the other trustees regarding this. Mrs. Martin also brought up the fact that if we have political people, we would need to provide security for them. Miss Scarmuzzi also reminded everyone that speakers cannot speak on politics, or use the event to speak against their political rivals.
c. Catering: Tony Ciminero, chairperson. Even though Mr. Ciminero was not present, Mrs. Tallman was able to reach Ciminero's Catering by phone to see if they would be available to cater our event on October 14. Names of other caterers, including Mijavec's, McMenamy's, McKenzie's, Leo's, and Saratoga were discussed, with sample menus being passed around.
d. Decorations: Dawn Tallman and Michelle Alleman, co-chairs: Please see attached report.
e. Music: Rich Hale and Mike Wilson, co-chairs: Mr. Hale recommended that a tent be set up for the re-dedication. The names of several bands were mentioned, including the Warren Brass Band, the Boardman High School Jazz Band, the Niles High Jazz and Marching Bands, also Belles and Beaux to perform at the re-dedication.
i. Discussion of the type of music to have during and after dinner occurred. It was decided to try to have music of the era during dinner, and today's music after dinner. The committee decided to have a band for these times.
f. Advertising/promotions: Mike Wilson, chairperson. Mr. Wilson reported that Bonnie Wilson will do TV and radio media promotions, he will do print media. Mr. Wilson also mentioned that he will be at the statehouse next Thursday, and will bring information about our event to our representatives then. He also mentioned that he will bring our flyers to Scope. Mrs. Buttar suggested that we should have a table with flyers about our events at Harry Stevens Hot Dog Day.
g. Printing: Susan Rossi-Wilcox, Rich Hale, co-chairs: Ms Rossi-Wilcox stated that she is looking into Vistaprint, which lists a price of $100-120 for 200 invitations.
V. New Business:
a. Correlation of invitation lists
i. Miss Scarmuzzi passed around a list of possible invitees, stating that she felt that the list should include, in addition to the many dignitaries mentioned, anyone who has had anything to do with the memorial, including past members of the Memorial and Library boards, past members of the Library and Museum staffs, and members of the families or members of the Boards of the men who are enshrined with busts in the Memorial.
b. Miss Scarmuzzi will be in touch with Representative Ryan's office regarding his being an honorary chairperson of the gala. That way he can issue invitations to other dignitaries.
i. Miss Scarmuzzi will also contact the Niles high School Music Department regarding the participation of the band and Belles/Beaux for the event. This will occur prior to the end of the school year.
c. Mr. Hale suggested that we should have a list of times that each event is to take place, as well as smaller events within the larger events for next time.
