Black ink on white paper. This two-page document listed the discussions of the Centennial Gala Planning Committee of the National McKinley Birthplace Memorial. The meeting was held August 3, 2017. Text is as follows:
"Centennial Planning Committee Meeting
August 3, 2017
I. Ms Scarmuzzi called the meeting to order at 10AM.
II. Michelle Alleman, Dawn Tallman, Richard Hale, Traci Buttar, Tony Ciminero, Steve Sava, Susan Rossi-Wilcox, Theresa Martin, Trish Scarmuzzi, and Mike Wilson were present.
III. Corrections/adjustments to minutes of June 29, 2017 meeting
a. Under Committee Reports c. Catering: Mr. Ciminero has concerns about the Buckeye Club using a table to serve the hors d'ouevres, because people tend to loiter around the table, which causes congestion. Ms Buttar will talk to the Buckeye Club about this. Ms Scarmuzzi will make the adjustment to the minutes.
IV. Committee Reports
a. Cornerstone Opening: Rich Hale, chairperson. Mr. Hale said that we need to set up a time to open the cornerstone prior to October 14. Discussion occurred about what to do with the artifacts immediately after the opening. A new box will be built after the opening of the old. Discussion was made as to how to store the new items. Ms. Rossi-Wilcox suggested that we allow the public to suggest that day what we will put in the new box.
b. Guest Speakers: Mike Wilson, chairperson. Ms Scarmuzzi mentioned that Mr. Blair is still trying to contact Governor Kasich to speak at the gala. Mr. Wilson will contact the mayor and the party chairmen. Steve Sava said that he contacted Lou Zona, director of the Butler Art Institute, and a representative of the Butler will attend.
c. Catering: Tony Ciminero, chairperson. The staff can come in early Friday for set up. Linens will be white. Mr. Ciminero asked if the blue should be navy or royal. We will let Mr. Ciminero know. Mr. Ciminero stated that his chair covers are a different size and shape than our chairs, therefore the covers will be rented, at $1.75 each. We are using assigned seating, with twenty-two round tables in the center, and six foot tables along the walls. We will also have the head table on the stage. Mr. Ciminero also reported that the menu is set. Mrs. Martin asked about including special dietary requests on the menu. Mr. Ciminero stated they can do a vegetarian lasagna or eggplant parmesan. The committee will decide on one for vegetarian and one for gluten-free. These requests will be included on the reply card. A platter of pastries will be served at each table for dessert. Drink choices will be coffee, ice water, and pineapple punch.
d. Decorations: Dawn Tallman and Michelle Alleman. Ms Alleman reiterated that Mr. Yuhasz is handling the flowers and ordering bunting. Ms Buttar will check this over with Mr. Yuhasz. Ms. Alleman is waiting on the table counts prior to ordering. They must decide what type of container to use for twenty-two to twenty-four tables. There will be long arrangements placed on the long tables. If the flags are put back on the stage, there will not be enough room for the head table and chairs and the podium, so since the head table and chairs and the podium have to go on the stage, the flags will not be put back up. It was suggested that bunting be placed on the stage instead of the flags. Mr. Reese assigned Creative Floral and Reese Floral Art to do the head table.
e. Music: Rich Hale and Mike Wilson: Mr. Wilson stated that Stan Miller is still available to play the saxophone. Ms Scarmuzzi will contact Sara Clark about playing the harp during dinner. She will also contact the Niles High School Band, Belles and Beaux as soon as school starts at the end of August. Ms Scarmuzzi will also contact Rick Leonard about getting Congressman Ryan.
f. Advertising/promotions: Mike Wilson, chairperson. Mr. Wilson asked that the police chief be contacted to alert him to the special security needs of the dignitaries. Ms Alleman asked about having a security guard in the library so that the accessible restrooms may be used. Ms. Buttar will ask the board about this.
g. Printing: Susan Rossi-Wilcox, Rich Hale. Ms Rossi-Wilcox asked that a JPEG of the line drawing of our logo be sent to her. Staples' price is $603.24 for 250 invitations. City Printing in Youngstown's cost is $443.38 for 250. Susan will make the changes on the invitation and reply card and will send a copy to the committee. Ms Buttar stated that the board will not have problems with the changes.
V. New Business:
a. Ms Scarmuzzi will email information from Aimee DeGregory of Beacon Design (ChemArt) to the board for approval.
b. Mrs. Martin stated that Frank Fuda of the Trumbull County Commissioners, would like to have a meeting here prior to October 14 in order to present a proclamation to the board.
c. Mrs. Martin also stated that elite Printing is coming this Tuesday, August 8, 2017 for an estimate on the exterior signage. She also stated that Mike Makes Signs will do a mock-up of the signs. She will send the information to them. They can make a permanent sign, and will get poles and do the installation.
d. Mr. Wilson also stated that someone should contact the air base in Vienna for an honor guard.
VI. Announcements: The NEXT MEETING will be held on Thursday September 7, 2017 at 10AM.
