Description

Written on white paper with black ink in Times New Roman font, this two page document was used by Committee Chair Trish Scarmuzzi to run the Centennial Gala Planning Committee Meeting on the date listed. The centennial logo is in color at the top of the first page, with the text beneath it. Text reads as follows: "Centennial Planning Committee Meeting Minutes June 29, 2017 I. Trish Scarmuzzi called the meeting to order at 10AM II. Miss Scarmuzzi welcomed new committee members Steve Sava and Rick Leonard III. Roll Call: those present were Traci Buttar, Michelle Alleman, Dawn Tallman, Rich Hale, Steve Sava, Rick Leonard, Sandy Bilovesky, Susan Rossi-Wilcox, and Stephanie Sferra. IV. There being no corrections/adjustments to the minutes of the June 1, 2017 meeting, the minutes stand as written. Moved by Sandy Bilovesky, seconded by Susan Rossi-Wilcox. V. Committee Reports a. Cornerstone Opening: Rich Hale, chairperson: Mr. Hale reiterated the plans for the opening of the time capsule for the new members. He passed around a list of ideas for items to include in the new time capsule. In addition, he handed out a chronology of 1917. b. Guest Speakers: Since Mike Wilson was absent, Ms Buttar reported that Matt Blair is working on getting the governor to speak at the gala. He is doing this through the Chamber of Commerce. Mr. Sava will contact someone from the Butler Institute of American Art to represent them at the gala. Rick Leonard asked about the timeline for the events: i. 10AM: open the museum for tours ii. Noon: Dedication with band, choir, and Ethan Hess to perform 1. Former President Taft (Mike Wilson), and Dorothy Butler to speak iii. 2PM: open the time capsule iv. 5PM: hors d'ouevres c. Catering: Since Tony Ciminero was not present, Ms Buttar and Ms Scarmuzzi reported on what they knew of the catering. Ms Buttar reported that Buckeye Club will serve hors d'ouevres butler-style and will also have a table. Ms Scarmuzzi reported that Ciminero's will handle the rest. d. Decorations: Dawn Tallman and Michelle Alleman reported that they met with the florists on June 20, and Mr. Yuhasz assigned each to decorate certain parts of the building. Mr. Yuhasz will purchase the bunting. No corsages or boutonnieres will be used. Ms Scarmuzzi stated that Mrs. Martin called Elite Printing in Warren. Ms Scarmuzzi spoke with them, and asked if anyone on the committee knew if the light poles had lanyards on them, and if so, how large? Mrs. Tallman stated that that is what they would need to find out. Ms. Sferra stated that she wasn't sure if anyone locally would do cloth, not vinyl banners. These could also possibly be hung on the façade. e. Music: Mr. Hale reported that Mike Wilson is working on getting someone to provide the dinner music. Mrs. Bilovesky reported that she will contact Anne Marie Thigpen, superintendent of Niles City Schools regarding getting the Niles High School Band and Choir (Belles and Beaux) to perform for the re-dedication. It is very difficult to reach the band and choir directors during the summer. f. Advertising/promotions: Ms Buttar reported that Mr. Yuhasz requested that the banner not be placed over the street. However, many of the committee members commented that many of the organizations to which they belong have done this with their events, and they feel that it will bring more people to the event. i. Ms Scarmuzzi also thanked Ms Sferra for sending her the media list, as she can now send information about our events out to the media. Additionally, Ms Scarmuzzi commented that she likes the idea of having a press conference to announce the re-dedication events. ii. Ms Scarmuzzi also noted that all centennial events have been listed on their own Facebook page, as well as on the museum's webpage, and Twitter feed. g. Printing: Susan Rossi-Wilcox, Rich Hale: Ms Rossi-Wilcox and Mr. Hale reported that they still need a number and price of tickets. Ms Buttar responded that the board is still waiting for Mr. Ciminero to get back to them with the final costs of the dinner. We are possibly going to charge $75-100 per ticket. We expect one hundred seventy-five to two hundred guests. Ms Rossi-Wilcox asked if we would have to pay transportation costs for out-of-town dignitaries. We would have to consider that when setting the cost of the tickets. i. Mr. Sava and Mr. Leonard asked about the speakers for the gala. Would we put a time limit on them? Would each be expected to speak? The Board needs to give feedback on this. VI. No New Business was discussed. VII. Old Business: a. Catering and invitations: Ms Scarmuzzi asked Ms Alleman to get her a list of all former and current library employees. Ms Alleman suggested getting in touch with Mr. Finan, and Ms Scarmuzzi will do that. Additionally, Steve Sava will get in touch with Chester Stout's son to invite him to the gala. Ms. Tallman will email her list to Ms Scarmuzzi, as will Ms Alleman. b. Announcements: Ms Scarmuzzi announced the design of the ornament to be given as favors at the gala. They will be made by ChemArt in Rhode Island. They will feature our centennial logo in 3-d, with gold banners surrounding it. The banners will feature the words "National McKinley Birthplace Memorial Niles, Ohio" across the top, and "Celebrating 100 Years 1917-2017" across the bottom. The cost to us will be $9.95-12.95 per ornament. VIII. Adjournment: 11:05AM IX. NEXT MEETING: Ms Scarmuzzi will send an email asking about the best possible date for the next meeting. Respectfully submitted, Trish Scarmuzzi, Committee chair"
