REVISED WISCONSIN JAYCEE AUXILIARY Region 5 Policy Sheet Adopted October 12, 1968 ARTICLE I Regional Meetings Section 1 Two Regional meetings will be held twice a year: one in the fall prior to Mid-Year Convention and one in the spring prior to Annual Convention. At the spring meeting, chapters will bid for the meeting and two will be selected by majority vote to hostess the regional meetings the following year. Section 2 The host auxiliary or auxiliaries will be responsible for making arrangements for the place it will be held (making sure privacy will be assured for the business meeting), the menu, door prizes (if any), favors (if any), coffee and rolls in the morning, obtaining speaker and agreeing on his fee, sending invitations to other chapters and members of the Executive Board as recommended by the State Vice President, (who will pay their own luncheon), receiving reservations, taking care of registrations and providing a greeting committee. All of these arrangements should be made with the approval of an in consultation with the State Vice President. Section 3 Price of the tickets should include: cost of the dinner, coffee and rolls, cost of any favors and prizes, dinner of the State President and the State Vice Presidents of the region and speakers fee. If the hostess chapter specifically requests a member of the Executive Board to attend, the hostess chapter will pay for her luncheon also. Price of the ticets should not exceed $3.50. A registration fee of $ .50 will be charged for any people attending the meetings, but not attending the luncheon. Chapters making reservations for girls who fail to attend will be charged $1.00 per person. Money shall be included when reservations are made and should be stated as such o the invitations. Refunding of money for regional meetings will be left to the discretion of the host chapter. Section 4 The hostess chapter or chapters are not eligible for the Woman Mile Award. Section 5 Adjournment of the regional meeting shall be by 3:00 p.m. ARTICLE II Election of State Vice Presidents Section 1 Election of two State Vice Presidents will take place at the Spring meeting. They will be elected by the entire region and there will be one State Vice President (from or for) each division. Each chapter will be allowed three votes providing three delegates are in attendance. The election shall require a majority of votes cast. No proxy ballots will be allowed for chapters not present. Section 2 Candidates for State Vice President will follow the procedure set up by the Wisconsin Jaycette election committee. ARTICLE III Agenda of Regional Meetings Section 1 The State Vice President will be in charge of arranging the agenda in advance for the host auxiliary. The agenda shall include the Jaycette Creed, roll call and the minutes of the last meeting. Section 2 Oral reports will be given by each State Director, or designated delegate from each local chapter, at the discretion of the presiding State Vice President. The State Vice President will let each State Director know in advance as to the procedure. Reports from any standing committee chairmen in the region shall be given as well as subjects of importance pertaining to the Region or to be brought up at the following State Convention. It is recommended that a vote be taken on these subjects so the State Vice Presidents may express the wishes of their members at the State Executive Board meeting. Section 3 Chapter approved proposals brought up at the regional meetings shall be presented by the State Director or her Representative. ARTICLE IV President and State Directors' Council Meeting Section 1 President and State Directors' Council Meeting shall precede the regular business meeting. Starting time shall be 9:00 or 9:30 a.m. ARTICLE V Project Reports Section 1 A Project Report will be prepared by the State Directors covering the activities since the last Regional meeting. They will bring a designated amount of copies to each Region Meeting unless otherwise stated. The State Vice President shall submit a sample form to each State Director to complete. ARTICLE VI Regional Newsletters Section 1 Regional newsletters will be sent out monthly by the State Vice Presidents to each chapter President and State Director. ARTICLE VII Visitations by the State Vice President Section 1 As per State Policy Sheet, it is recommended that the State Vice President visit all her member auxiliaries at least once a year, upon invitation of the auxiliary, preferably during the fall months. The chapter shall pay for her meal and her traveling companion when necessary. ARTICLE VIII Monthly Report Forms Section 1 Monthly Report Forms will be returned to the State Vice President each month by each local State Director. This is to keep the State Vice President informed as to the activities and progress of the local chapter. Section 2 These reports will be judged on a point system as set up bythe region for reports from March 1st thru February of the following year. Judges will be chosen by the State Vice Presidents. Awards will be given at the Spring Regional. ARTICLE IX Planning Sessions Section 1 It is recommended that the State Vice Presidents meet sometime before the Regional meetings with the President and State Directors from the region to brief them on any matters needing to be voted upon, to ger their opinions and ideas, and to strengthen the bond between locak (local), region and state levels of Jaycettes. MARSHFIELD'S PROPOSAL: ARTICLE I - Section 6 - The chapter hostessing the Spring regional meeting will be responsible for collecting $1.00 per chapter to purchase gifts for the State Vice Presidents of Region 5.
