Getting & Keeping Members
How To Run A Club
Dear Membership Chairman:
Yours is a key job. No matter how vital the work of your organization, how important its service, it cannot be carried on without active members. Addition of new members is a continuing need if your organization is to accomplish its aims and continue its growth.
Your appointment as membership chairman means that your chapter believes you are enthusiastic about Jaycettes and that you are also a good salesman and can work well with others.
Your task will be to present your group to those who would benefit from membership in it, and who can contribute something to it at the same time.
Membership chairmen are called upon to give leadership in two ways: First to recruit new members and help them become active. Second, to stimulate active participation on the part of every member.
Most Jaycette chapters are faced with a common problem. How to get members and keep them. Since membership is the foundation on which our organization is built, it is of the utmost importance that the problem be approached with an open mind. It must be analyzed carefully and a course of action planned and followed through.
There is no magic key to open the membership door to every chapter. But there is one essential element and without it outstanding growth is impossible. This involves an enthusiastic determination to reach a high goal through a twelve month program, regardless of the problems or hurdles to be met. This attitude must begin with your president, be adopted by the board of directors and spread throughout the membership. It should begin with the establishment of a high goal.
In order to do an effective job as membership chairman, you need the cooperation of every member in your Jaycette chapter. Everyone will need to work at making new members welcome and useful and must work as a team.
In this handbook, you will find suggestions for membership recruitment, the new member, orientation and retention. As you succeed, you will find pleasure in bringing together people with mutual interests and common interests. You will also enjoy the satisfaction of seeing your group's influence widened, its goals achieved.
Jaycettes to me is a very living, growing thing. Nurtured, the harvest is bountiful. Where else can you find a harder working, more self-giving organization. The opportunities of friendship, the richest crop in the world, exist in Jaycettes.
Visualize that you are a salesman and Jaycettes is your product. You must enjoy your job and know something about it before you can tell and motivate others.
With over 8800 Jaycees in the state of Wisconsin and only 2600 Jaycettes, you as this salesman, can set your goals high.
Congratulations as your chapter's #1 motivator and the best of luck in your endeavors to grow with the Wisconsin Jaycettes.
"PROGRESS BEGINS WITH A CLEAR VIEW OF THE GOAL"

MEMBERSHIP COMMITTEE
Committees are the means through which the organization thinks and acts - the backbone of all activities. An active membership committee well acquainted with your chapter's membership plan is vital to increase your membership. You should be prompt in meeting the obligations of your chapter by cooperating fully with all members willing to serve.
If your chanter does not have an active membership committee, now is the time to see what you as a Jaycette can do to make your club aware of the need of one. There are certain essential qualifications for any effective committee.
Suggested Membership Committee
1. Qualifications for being on a Membership Committee
a. Members should be in good standing in the organization,
be convinced of its value to the community and to individual members, and be able to translate that conviction to others.
b. They should have a variety of experiences in all phases of the organization's activities.
c. The Committee should be able to make prospective members see themselves in action in the organization's activities.
d. They should be a motivator with an attitude of friendliness and respect for Jaycees, Jaycettes and the individual member.
2. Responsibilities of the Membership Committee
a. To organize recruiting
b. To stimulate Membership and get them involved
c. To prepare materials for distribution to potential members and to help familiarize them with the organization.
d. To orient new members to the group and encouraging them to remain by finding a spot where they can work cooperatively.
e. To solve any problems concerning membership with the board of directors of the organization.
f. Contact prospects and bring them in the organization.
g. Provide incentive and awards programs for deserving members.
This concept of the work of the membership committee is a much broader one than that of most other committees. Try having the membership committee begin where most membership committees leave off. To secure new members and keep them, the entire organization should work with the membership committee.
Jaycettes who constantly review its total membership to see that every member is being used effectively is a much more vital chapter. This alert kind of chapter, instead of looking back to an honored past, can anticipate continued growth and achievement.
"USE NOT ONLY ALL THE BRAINS YOU HAVE, BUT ALL YOU CAN BORROW"
SUGGESTED PLAN OF ACTION FOR MEMBERSHIP
1. Select your membership committee
a. Gather all your materials and ideas to present
2. Meet as a committee to Plan your goals
a. Areas should be in membership, orientation and retention.
b. Analyze your previous growth against your potential and set your goals high. Be determined to break all previous goals through a consistent membership plan. Never settle for waiting until Fall, Winter, or Spring to invite those prospects and receive the products that Jaycettes offer.
c. Break your goal down among your membership and publicize progress in your newsletter each month. Establish dates for specific member increases, such as October 1, December 15, and April 1, and publicize these.
3. Present plans to board of directors and membership for approval.
a. It might be wise to ask for an allotment in the chapter's budget for drives, coffees, materials, handbook revisions etc.
4. Meet with Jaycee membership and orientation chairman
a. Set up joint membership drives and joint orientations.
5. Throughout the year, meet with your committee
a. Purpose would be to evaluate accomplishments and analyze balance of programs.
6. Turn files over to new chairman and orient her.

INCREASING MEMBERSHIP
Membership is one of the most common problems of Jaycette chapters. Without members, we cannot function. We urgently need to extend membership to more and more young women to broaden the Jaycette movement. As local chapters progress, the talent and enthusiasm of their sustaining membership elevates these Jaycee wives to leadership positions in the Jaycettes. New ideas, new talent and new ability needs to be found in new members and, these members are drawn from the wives of new Jaycees.
Acquiring members is the important first step to a well-functioning chapter. How can we increase our membership? Personal invitation is the almost universal practice for obtaining new members. Isolated"short-term" membership drives are rarely successful - NEW MEMBERS SHOULD BE AN ALL-YEAR PROJECT. To obtain new members, we must SELL Jaycettes. This is clone by good Public Relations, both internal and external, and by enthusiastic members under the guidance of a hardworking, friendly membership chairman. Following are hints on membership that can be adjusted to fit your chapter. It up to you.
A healthy and continuing membership growth provides:
a. increased quality and number of activities
b. added manpower, spreading the work among more people
c. better chairman, directors, and officers because there
are more to choose from; their selection based on promotion by experience
d. chance for more young women to benefit from Jaycette leadership training and civic work
e. fresh ideas and new friendships
f. increased income through dues payments
Points to use to "sell" Jaycettes
1. That we are a leadership training organization
2. That we are involved with humanity and help the less fortunate (Many women are not interested in being leaders but are interested in helping others)
3. That we work with our husbands, the Jaycees, toward a common goal and this is our first purpose
4. That through Jaycettes, our members can become better Individuals - this suggests a recognition that we all have a lot to learn and that we are willing to do something about it. Remember Jaycettes is a "learning" organization.
5. Nothing beats friendliness - make prospective members feel wanted and part of the group. Avoid cliques, use name-tags, and mix. Get to know prospectives personally.
Be friendly, be enthusiastic, be interested - sell JAYCETTES!
PLANNING THE CAMPAIGN
Your First Step:
Let the whole membership know what the special needs of the group are. Other members may know likely prospects, and be happy to tell them they are needed in the organization. It's flattering to be needed.
Should a campaign to reactivate lapsed memberships be part of the membership drive, or might it be better to do this as a pre - campaign activity?
Ask yourself these and many more questions to evaluate your chapter before you set your campaign goal.
SETTING YOUR CAMPAIGN GOAL
Set a goal for new membership that is realistic in relation to the number of eligible people in your area and the number the Jaycees have. Be optimistic about your chances of success but don't be foolhardy. Remember, you have competition from other organizations. Estimate a fair percentage of the eligible persons available as the number you can really expect to win for your group.
DECIDE ON THE CAMPAIGN
Many factors will influence your decision for the kind of membership campaign you choose, its duration, and how many workers you want or need.
Do you need just a few members? Will an informal, year around effort be most likely to bring them into the group? A more intensive campaign, involving as many workers as possible may be indicated for such a large goal.
WHAT METHODS WILL BE USED?
Use as many methods of recruiting as you can think of, and that will be acceptable to the kind of people you want as members.
Consider guest meetings, personal calls, telephone, direct mail, publicity. Some of the foregoing method's will require finances. You need to clear this with the organization if they have not budgeted a lump sum for your campaign. And even if you have money in the budget, you will need to plan its use in a variety of ways, to get the greatest good for the funds available.
GIVE YOUR CAMPAIGN A "THEME"
Develop a theme for your campaign that will give it instant identity. A clever theme can be used not only in printed materials but also in publicity, posters, charts, name tags, and even table decorations forguest meetings. Keep mentioning the theme every time you have an opportunity.
STAGING THE CAMPAIGN
WORKING WITH THE PUBLICITY CHAIRMAN
Your publicity chairman will welcome the news of your campaign from the time it is first announced until the final assignment of new members to committee tasks. Have her assist you in writing articles for the newsletter and sending publications to prospects.
GUEST MEETINGS
This is your first opportunity to show officially the warmth of member-to-member relationships of your group. You may schedule a special meeting to entertain and inform prospective members, or they may be welcomed at any regular meeting. Whichever plan you follow, make guests especially welcome. Careful planning pays. Keep the meeting on schedule, to show that you get things done on time, and have fun doing it.
FOLLOW-UP
Now that you have met these prospects, don't drop them by the way side and expect them to come forward on their own. Invite them to the next meeting and after they have joined, continue your interest in them as an individual.
Congratulations on the success of your membership campaign. Don't stop now. Make this a year-long Program.

MEMBERSHIP RECRUITMENT
Membership coffees have been very successful in introducing wives of prospective Jaycees and wives of Jaycees to your local chapter. It is the importance of an informal setting and a friendly atmosphere. Your aim should be to get to know the girl first and her interests and then talk about joining Jaycettes.
First impressions are lasting ones. It is important that each prospective member has a good impression of her first contact with a Jaycette. When you ask her to join your club, you are asking for part of her time. She should know in advance what she is getting in return and how the club can benefit her.
1. Acquiring prospects name
a. Attend a Jaycee meeting or ask the Jaycee membership chairman to pass a sheet at their next meeting asking for names of prospective Jaycees. (Have the Jaycee sign his name after it so follow-up will result)
b. These names can also be acquired from the Welcome Wagon hostess or Chamber of Commerce on new people moving into the community.
2. First contact with prospect
a. Suggested Letter #1
b. Suggested letter #2 as follow-up
c. Send copy of newsletter
d. Phone call from membership committee or Jaycette
(1) Break down the list and review with membership. Perhaps there are some members who have had contact with these wives.
(2) Inform prospect you will pick her up for the coffee or the following meeting
3. At coffee
a. Have name tags. Welcome guests, make them feel at home, chat informally about things which interest them. Include them all in the conversations. Try to draw them out and get to know them personally. Have each Guest introduce themselves and tell a brief resume of themselves.
b. After socializing, introduce several ice-breaker games which are suggested on following pages.
c. Follow this with a brief orientation on the activities of your chapter. Keep it brief and to the point so you do not confuse them. You might ask other Jaycettes in attendance that they have derived from Jaycettes.
d. Invite Jaycee membership or orientation chairman to briefly explain Jaycee activities. Remember - that's why you invited them - to motivate their husbands to join Jaycees.
4. Follow-up
a. One of the most important factors in obtaining new members. Have each member that brought a Guest, call them, tell then' you enjoyed meeting them, and invite them to the Jaycette meeting. Arrange to pick them up and plan to introduce them at the meeting. This could be arranged the night of the coffee and they could be called a few days before the meeting to confirm the plans.

MIXING GAMES OR " HOW TO TALK TO A DIFFERENT PERSON AT EVERY MEETING"
Did you every (ever)notice how friends always sit together at every meeting. Always the same people talking to the same people. Here's how to get them "circulating ." Try a mixing game.
Dinner meeting - try placecards and you do the mixing. For a variation, cut paper hearts in two. Half of the cut heart can be put at each place at the table with the other half drawn at the door. Match your heart for your place to sit. Cut Shamrocks in March, Easter Eggs in April, Flowers in May, Pumpkins in Oct. etc.
Have two sets of corresponding numbers. One set for member to draw from and the other to put on chairs. Match the numbers for your chair. Second set of numbers could be put under coffee cups.
Colored name tags - Place one colored tag on each table and those wearing that particular color for a name tag sit at that table.
People Bingo - This game is played just like Bingo only names are used instead of numbers. On sheet of paper have large square divided into 16 small ones with the following instruction: You must introduce yourself to each person and ask her to sign your game sheet (in the squares). Later in the evening, names will be called until someone Bingos and it will be verified that you introduced yourself to each of the girls in the winning line. You may Bingo up or down, side to side, or diagonally.
MORE MIXING GAMES
Partners,- Preparation - Make a list of famous couples kike Dagwood and Blondie, Lone Ranger and Silver etc. Put each name on a separate piece of paper. Pin to guest's backs as they enter. Do not tell what is written on anyone's back. Wait for starting signal. The object of the game is to discover who you are and to find your partner. This is done by going around and asking one question about yourself to each person. Questions must be phrased so that they can be answered by a yes or no. Partners will later sit at the same tables.
Night Out Pot - This one isn't a mixer but could help attendance. Each girl desiring to participate chips in a dime as they arrive. A drawing is held later to determine who the lucky person is who wins the "loot'. This can be carried over from one month to the next if the member whose name is drawn (names are taken from the membership roster) is absent. This causes the pot to grow and more desire to win it.
MEMBERSHIP SUPPLIES
Attached are copies of "An Invitation to Join With Us" and a "membership card'. These may be obtained from the Program Chairman and in the State Library. The price is 1 or 2 cents each.
* The Invitation is filed under 2016.0110.0001 and the sample of the membership card is filed under 2016.0110.0005
THE NEW MEMBER
The way you officially welcome new members to your organization is important, whether it be a once-a-year function or is done throughout the year at any meeting, if your organization's membership campaign is a continuing thing.
This is the time to say "We are glad you decided to join with us" by conducting a special welcoming ceremony. Remember, you told these people they were needed by the organization. This is your official way of confirming the fact.
Work closely with the program chairman. Schedule the initiation ceremony at a place in the program where everyone is present, feeling fresh and attentive. Decide whether you want new members to sit together, or if it will be more comfortable for them to be scattered throughout the group. Whichever you decide, let each one know what the procedure will be, where you want them, at what point in the program the ceremony is scheduled to take place.
INITIATION CEREMONY
This may be conducted by you, your president or your state vice president.
Initiating Officer: Will the new members please rise and come forward as I call your name?
Our husbands believe "faith in God gives meaning and purpose to human life. As Jaycettes we have an opportunity to work with our husbands in the development of this belief. Our husbands through Jaycees are on their way to change their corner of the world. Through Jaycettes we support the activities of our Jaycees who put no barrier on membership and no limitation on effort in securing success and world peace. Truly, "the brotherhood of man transcends the sovereignty of nations. Economic Justice can best be won by free men through free enterprise." As Jaycettes we must be willing to get our hands dirty in our communities and pay the price for excellence.
We have the advantage of living, working, and praying with young men who believe "government should be of laws rather than of men." Today over 300,000 Jaycees and their wives stand behind the principles and laws that have made our country a place where men can be free, where an individual can give of himself the best that her has in support of his country and his government of laws. Jaycees believe "Earth's great treasure lies in human personality." Through Jaycettes you are offered a share in this wealth. We extend our hands to you and our friendship too - a friendship that does not tolerate indifference but demands concern. And our husbands' creed ends with "Service t...
