COPYING POLICY AND INSTRUCTIONS
ICONOGRAPHY, FILM:, AND RECORDED SOUND
Copying Policy
1. All users of the collections who wish to make photographic copies of any portions of the collections must make a written request in advance. They must discuss their project with either the Curator of Iconography, the Film Archivist, or the Iconographic Archivist.
2. Anyone mating copies must sign a letter of indemnification stating the exact intended use of the material after permission to copy has been granted.
3. Any unrestricted item in the collections may be copied on 35mm color transparencies for research or private use only.
4. All photographic copies of material in the collections intended for publication or any similar use must be obtained directly from the Society.
5. The Society does not permit researchers to make large format copy negatives of original materials for any use. Under special circumstances, 35mm and other small format negatives will be permitted with the understanding that all negative material will be returned to the Society.
6. Researchers interested in making frame enlargements should consult the Film Archivist for policy on utilizing these materials.
Instructions for Copying
1. At the present time the Society has three copying set ups: (1) An easel and tripod with portable light stands: (2) a conventional copying stand using PAR bulbs for illumination and (3) a large copying stand designed originally to hold a microfilm camera which can be adapted for various 35mm cameras.
2. A researcher wishing to make copies can use any of this equipment or equipment of his own with the following provisions: (1) Requests to copy must be made 48 hours in advance because of scheduling problems; (2) the researcher must bring all of his own photographic equipment except as outlined above. This includes camera, light meter, films and lamps. The lamps which are here are for staff use and we cannot in any way guarantee the color temperature or the length of life of any lamp that is on the premises. To insure good copies, fresh lamps must be used by the researchers.
3. The researcher must organize the material and go over it with one of the section staff before taking it into the copying room and must check the material with the staff after the copies have been made.
4. All use of drafting tape, push pins or other similar items which have direct contact with the surface of materials to be copied is prohibited. Anyone found using these materials will not be allowed to continue a copying project. The use of certain photo clips and glass for holding images flat is permitted. Discuss your plan with the staff.
5. The Society reserves the right to have a member of the staff present during
copying and to reschedule copying sessions because of emergency uses of the copying area.Acquisition
