Dear Jaycettes:
Sorry for the delay - I haven't had the time to sit down and collect my thoughts as November has been a rather busy month. To think in just two weeks we'll all be gathered at that fabulous Mid-Year Convention creating history for the Wisconsin Jaycettes. The best Mid-Year ever I've been told. (I can just visualize the Fondy Jaycettes recalling events from just a year ago when they hosted Mid-Year - this year you'll be able to sit down and relax???!!!) In any case, plan to be there. More on convention on the following pages.
In talking with all the chapters throughout the Region last weekend, I marvel at the increases in membership. I keep telling you you're great - GROW AND EXCEL. On the following pages also is a breakdown of the membership in Region 5. This is listed as VOTING MEMBERS ONLY (NOT INCLUDING HONORARY OR ASSOCIATES). Won't be hearing from Region 4 until they've tabulated all theirs but I'm quite confident that Region 5 has gained many, many members. Will tell you the results in my next newsletter. Let's not stop there but continue to add new members. Even if you have reached your Golden Key goal, continue to GROW.
Since my last newsletter I've toured Winnebago State Hospital, attended Local board meeting, November 7 met with the future Mayville Jaycettes, November 11 visited Waupun and had an enjoyable evening, November 12 ARC meeting, November 18 visited Randolph and spoke on parliamentary procedure. In between those days, I must have been busy with local chapter activities as my poor calendar is scribbled full. Up and coming events - November 27 - my son's tenth birthday and of course Thanksgiving the next day. On December 4th, I'll be visiting Portage and that will complete my visitations - once around). Hopefully I'll be able to visit all the chapters again and would suggest an orientation for every chapter. With the addition of all the new members, if they don't understand the organization, we' ll never be able to hold them. December 5th Sue and I will be going to Wautoma for their CAROL Award tea and that great weekend of the 6th and 7th.
May you all have a blessed Thanksgiving with your families and friends and let us all be thank ful for the many blessings which have filled our lives. Let us thank God for these families and friends and the power to communicate, with them, the abundant harvests, comfortable homes and spiritual blessings and the opportunity to touch on our communities, our state and nation, and even the world.
June
***(Hand written signature and note) Orient those new members. See page 18 of the membership handbook I gave you. Around Feb. or March use the quiz on Pg. 19.
WINNEBAGO STATE HOSPITAL TOUR - November 2nd - Over forty five Jaycettes toured the hospital at Oshkosh from Randolph, Fond du Lac, Waupun, Beaver Dam, Berlin, Oshkosh, Wautoma, Weyauwega and Stevens Point. I was really amazed at the modern facilities. Two facts which really hit me - the youngest alcoholic they've had was nine years old and they presently have two gals, age 19 and 21, who took LSD and will be there a lifetime. As the coordinator told us, they took a trip and will never come back. Thanks to the Oshkosh gals for the enjoyable hospitality following.
LEADERSHIP TRAINING PROGRAM - If your husband is taking this program, take the opportunity to read this material - it's fabulous. Encourage him to take it if he has not signed up. Many, many chapters throughout the state are offering this course.
EXTENSIONS - Oshkosh will be getting approval for Omro and Waupun intends to visit Horicon soon. The Waupaca and Wega gals have visited the Manawa wives and hopefully very shortly we will be chartering another chapter. (Remember the Manawa Jaycees charter December 15th by Waupaca.) We're still hoping for Ripon. If you see any of these wives at Mid-Year, be sure to talk to them.
PRESENTING - THE MAYVILLE JAYCETTES - Charter Night December 10th - Invitations will be sent out soon. Try to attend. Their new president is:
Mrs. David Valle (Sherry)
880 Circle Dr.
Mayville, Wisconsin
Their new State Director is:
Mrs. Ken Schmidt (Jan)
424 N. Main St.
Mayville, Wisconsin
Why not drop these gals a line congratulating them and welcoming them into the Wisconsin Jaycettes? They are chartering with 11 Jaycettes and will be attending Mid-Year. Beaver Dam is the extending chapter.
The extension goal is 15 and in the State President's newsletter of November, six have been extended.
NEILLSVILLE will be disbanding at Annual Convention and are presently inactive. All files etc. have been turned over to Sue Grow.
ARE YOUR MEETINGS RUNNING LONG? I've heard this from chapters throughout the state. A few suggestions might be -
1) Appoint a chairman and committee for each event and have them present the plans to the membership instead of the chairman asking for opinions etc. from the membership. This is called good committee ground work. Much time can be lost discussing things that can be worked out by a committee.
2) Call each officer or chairman several days prior to meeting and review things with her. The board meeting is the time and place to make up the agenda but often times things crop up before the membership meeting.
3) Ask each chairman to keep their reports as brief as possible without skipping over anything. (Remember, its important for those chairman to make their reports so they not only feel a part of the group but also can take the opportunity to stand up and speak.)
4) Ask your State Director to keep her report to the monthly activities. It is not necessary for her to report on the entire Double Mailing.
She is to distribute it to each chairman for their information. If they feel its important for the membership, leave them report on it. I find this happening on several of my visitations. But please report on the double mailing and regional newsletter.
5) Use parliamentary procedure (and all the chapters I've visited do)
6) A chairman presenting a project may make the motion. This sometimes saves time waiting for a motion from the floor.
7) Don't be afraid to use your gavel if talking persists.
8) Start on time.
9) Allow time for discussion but after its continued for sometime, instruct one of your board members or parliamentarian before the meeting to call the question.
10) Try a time limit or ask each to keep their report to three or five minutes. However, this sometimes doesn't work effectively every month depending on your business at hand.
I perhaps could rattle on and on but let's remember too that poor new member. I'm sure she'll be thoroughly confused by the end of the meeting. In some cases and some months, it's impossible to cut down timewise but if you and your members are aware of it, everyone will try.
UJF FUND - Last I heard about $1800 was in the fund. If you haven't donated, bring your check along to Mid-Year. Refer to your double mailing for the grants which total $2822.00. No pledges will be taken from the floor.
MID-YEAR CONVENTION
WE WILL SIT IN REGIONS Saturday at the corporation meeting. State VPs and chairmen from each region will pass out and collect ballots etc.
IF YOUR STATE DIRECTOR CANNOT ATTEND Friday night, be sure and give the alternate's name to Pat Church, State Secretary.
IF YOU HAVE OVER 25 MEMBERS OR 25, YOU ARE ALLOTTED FIVE VOTES if you have five members or delegates attending. Otherwise three etc. according to the amount of your members.
REMEMBER STATE DIRECTOR TO FIT, YOUR CREDENTIAL SHEET with either Jean Malin on Friday night or Pat Church on Saturday.
FRIDAY NIGHT AT THE BOARD OF DIRECTORS WE WILL BE VOTING on Campaign rules and any policy sheet changes (refer to your last two double mailings) etc. See agenda.
If you have any discussion at all on these, please have your State Director voice them.
MERIT AWARD CHANGES - VOTED ON FRIDAY NIGHT AS FOLLOWS: This would be changing it from classification by population to classification by membership. Other minor changes will be to include presentation of Jaycee assistance awards in each classification, and criteria for judges to follow.
Class D - Members 1-13
Class C Members 14-19
Class B - Members 20-26
Class A - Members 27 -
Think this over very carefully. The date is in question as to amount of members, however, I question the fact, say for example Berlin with 27 members and a population of 8,000 competing against a chapter such as Madison, Wauwatosa etc. where the population is so much greater. Sylvia Hoeppner, state Merit Award chairman, will be happy to answer any questions. The Merit Award revision committee consisted of a past and and the present Merit Award chairman, a past Merit Judge, and past local presidents and state director who are now on the Exec. Board. I'm very interested to hear their opinions on this. Again, if you have any questions, ask.
YOU WILL BE VOTING ON:
Constitution and By-Law Changes
Abolishing President-elect system
Dues Increase (This is not retroactive but would become
effective January 1, 1969.)
Measles Bill
Grants
BRING ALONG YOUR DOUBLE MAILINGS and a bottle of aspirins!!
CAROL AWARD LUNCHEON following the corporation meeting. Don't forget the Forum following it. Chapters will be notified on or before November 30th if they have a winner so I wish you luck.
MAY I ADD to the suggestions on speeding up your meetings:
11) Look over your constitution - Does it state in it that all matters must come before the Board of Directors first before going to the membership. Sometimes the why's and wherefore's
can be discussed at the board meeting and hashed out there instead of wasting time on the agenda during the membership meeting.
12) Perhaps the board can recommend taking on a project to the membership but really - when its brought to the membership, isn't it a fact that the board approves of it and isn't necessary to "recommend" it verbally.
SEE YOU AT WAUWATOSA - Several chapters have asked proper dress for the meetings etc? Friday night - Chapter uniforms, slacks etc.
Saturday a.m. - Same as above or street dress that you'll be wearing to luncheon (there's not much time to change)
Saturday evening - Street dress, cocktail dress or formal - there's a variety.
TAKE NOTE OF THE REGION 5 MEMBERSHIP. YOU ARE GREAT, GREAT, GREAT AND EXCELLENT, EXCELLENT - Hey - anybody want to write a song - E is for the____, X is for ___, etc. Send me a few carbon copies.
(Hand written note: All chapters in Region 5 south have their budgets and plan of action to me. How about that for 100% !)
